Membership Policies
AGE REQUIREMENT
Any member of Villa Creek Cellars and MAHA Estate must be of legal drinking age (21 years of age or older).
COMMITMENT
All Villa Creek and MAHA Estate memberships have a one year commitment of new release shipments as defined by the number of annual shipments (2 shipments for VCLTD, 1 shipment for MAHA).
SHIPMENT SCHEDULING
Our Villa Creek club shipments are twice a year, spring and fall. The spring allocation opens January/February and the wines ship in March. The fall allocation opens July/August and ships in November. For the MAHA Automatic Allocation, the release opens in June and the wines ship in November.
You will receive a detailed notification email the day an allocation period opens. This allocation period runs for 2 weeks. In this time, you will have the opportunity to customize your shipment within the current release. A reminder email and last call email will be sent out as well. All release emails will contain important information regarding when the shipment will be charged and when they will ship.
CANCELLATION
Once a member had fulfilled their one year commitment (2 new release club shipments for VCLTD (excluding tasting room purchases), 1 shipment for MAHA), they can elect to cancel their membership without penalty. The one year commitment excludes shipments purchased in the tasting room at the time of signup. Any cancellation requests (or skipped shipments) must be received prior to the charging of a shipment. Several emails and/or postal reminders will be sent regarding upcoming shipments. If a member wishes to cancel their membership they can either call or email us.
EARLY CANCELLATION
If a member wishes to cancel their membership prior to fulfilling their one year commitment, the member will be charged a one-time $75 early cancellation fee. If the cost of benefits received exceeds $75 (2 new release club shipments for VCLTD (excluding tasting room purchases), 1 shipment for MAHA), then the fee will equal the cost of benefits received as a member. Benefits include but are not limited to preferred pricing on any and all wine purchased, complementary tasting fees, complimentary event tickets, and complimentary shipping and/or discounted shipping rates. Any cancellation requests must be received prior to the charging of a shipment.
SKIPPING A SHIPMENT
A member can elect to skip one shipment after fulfilling their one year commitment of new release shipments. To skip a shipment, a member must give notice prior to the charging of the next shipment. Several email reminders will be sent regarding upcoming shipments, including but not limited to a save the date email, an email signifying the opening of the allocation, a reminder email, and a last call email. Members are allowed to skip only one consecutive shipment at a time.
EMAIL CORRESPONDENCE
Email is our primary form of communication with our customers. As such, it is extremely important for members to review all email correspondence sent by Villa Creek Cellars and MAHA Estate regarding shipments. If you accidentally unsubscribe, you can resubscribe HERE.
MEMBERSHIP TASTINGS
As a benefit of being part of our club, we offer our members complimentary tastings during visits to the tasting room. Our 6 bottle members receive 2 complimentary tastings during visits to the tasting room and our 12 bottle members receive 4 complimentary tastings during visits to the tasting room. Per our cancellation policy for tasting reservations, same day cancellations and no shows will be charged in full to the credit card on file.
SHIPMENT PICKUPS
Club shipments will be stored safely in our warehouse from time of order through to a set “pick up date” clearly stated on all email communications sent around release time. Pickup members will receive an email when the wines are ready for pickup.
AS WE ARE BY APPOINTMENT ONLY, all pickup reservations must be booked in advance and can be booked HERE.
We ask that all members book at least one week in advance so that we can make sure we have adequate inventory on site. Failing to book in advance may result in a shortage of inventory that will result in the inability to pickup. If a member cannot make it within the designated pickup timeframe, we are more than happy to make arrangements to have any wine orders shipped.
LATE PICKUPS - As a small scale facility, we don't have the physical space to store wine that has already been purchased for extended periods of time. We will send several reminder emails during our designated pickup window. If we have not heard from a member and their wines have not picked up by the pickup deadline stated in allocation/release emails, the wines will be returned to inventory and a credit will be issued to the members account. Any store credit can be viewed in the member’s account. If a member has more than two orders that have not been picked up by the designated pickup date, their membership shipping preference will be changed from pickup to ship.
***Disputing shipment charges: Notification that a club shipment charge has been disputed (Villa Creek or MAHA) voids any and all club contracts and will result in the immediate termination of a membership.
